Job Summary
This position will play a critical role in providing timely, accurate and effective administrative support to project staff in the successful design and execution of the Native mixed-species Reforestation Project in the Philippines. The role also has an important task in setting up administrative, accounting, and HR processes.
This is a junior to mid-level role, reporting to the Head of Nature Based Solutions – APAC and working closely with all project staff to ensure the successful implementation of the project.
This role is a six-month contracted position with an expected transfer to a full-time position after the probation period.
Main Responsibilities
- Provide administrative support for the development and implementation of the project.
- Arrange, organize and schedule meetings with project partners, community leaders’ stakeholders, government officials, and maintain relationships with these key partners. This includes coordinating meetings, arranging conference calls, and booking travel arrangements (flights, hotels, rental cars).Provide administrative support for work required in the preparation of project documentation. This includes documentation for application of licenses, permits, carbon project development certification and others.
- Work with EcoSecurities support function leads (i.e., Finance, HR, Legal, Operations) to establish Philippine-compliant processes and systems allowing for the establishment and growth of the project.
- Maintain project records and accounts and assist project invoicing, and accounts payable including cash advances to project staff. Responsible for processing incoming bills and tracking payments in a timely manner. This involves reviewing receipts and submitting the reports for approval. Coordinate with Finance to reconcile petty cash funds, ensuring all expenditures are properly documented and balanced.
- Upon request, conduct research and analysis into key components of the project.
- Provide other administrative tasks to support the Head of Nature Based Solutions – APAC
Candidate Profile
- The ideal candidate has an understanding of corporate functions and systems to operate in the Philippines.
- The candidate can apply pragmatic and commercially reasonable approaches to act in the best interest of the company.
- They have the capacity to develop processes and systems to support the project objectives within expected timeframes.
- This candidate is expected to have a practical understanding of the people and culture in the Philippines.
- Fluency in English and Filipino is expected.
Qualifications
Essential
- A minimum of a 3 years’ experience in business administration, project management, sales, finance and/or consulting
- Degree in business administration, project management, economics, law, engineering, or science;
- Proficient in Excel and PowerPoint
- Good English language skills with excellent written and verbal communication
Desirable
- Commercial and business development experience
- Carbon markets and environmental finance
